Description

A front office executive is a crucial member of the administrative staff. They are the first point of contact in the office and provide administrative support to the entire organisation. They also introduce clients and guests to the organisation's upper management. A front desk executive manages the flow of visitors through the organisation and ensures that all receptionists complete their duties on time. The duties of a front desk executive vary depending on the company, but some tasks are common. Typical responsibilities of a front desk executive include:

  • greeting clients and setting a positive office atmosphere

  • answering the phone, taking messages and redirecting calls to respective offices

  • organising and maintaining files and records and updating them when necessary

  • creating and maintaining updated documents and spreadsheets

  • overseeing the sorting and distribution of incoming mails

  • preparing outgoing mail items such as envelopes or packages

  • operating office equipment such as photocopier and printers

  • bookkeeping and issuing invoices

  • recording meeting minutes and dictations

  • performing an inventory of office supplies and order of need

Position summary

We are looking for a welcoming front desk representative to handle all receptionists and clerical duties at our main entrance's front desk. You are the company's "face" to all visitors, and responsible for our first impression. The ideal candidate has a friendly, crafted demeanour while also being sharp and disciplined. It is important that you can handle complaints and provide reliable information. It is also critical to take a customer-centric approach. The goal is to make our guests and visitors feel welcome and appreciated while they are on our property.

Responsibilities

  • reporting to management and assisting with administrative tasks

  • answering phone calls and forwarding calls to respective departments

  • scheduling and confirming appointments, meetings and events

  • greeting and assisting visitors in a professional and friendly manner

  • handling enquiries and sorting mail

  • copying, scanning and filing documents

  • keeping track of office supplies and placing orders for replacements

Education and professional qualifications

  • bachelor's degree in hospitality and hotel administration to a related course

  • 2+ years of front desk experience in the hospitality industry preferred

  • excellent written and verbal communication skills

  • working knowledge of computer software, such as word processors, spreadsheets and presentation tools
