The Operations Executive is responsible for the part of the workplace team that directly manages the operations and maintenance of facilities. The Operations Executive can report to various parts of the company such as the Facilities Executive, Chief Executive Officer, but usually has direct access to senior management.
Primary Responsibilities:
1. Liaison: Act as the primary contact between the management team and staff, facilitating effective communication.
2. Project Oversight: Schedule and monitor project tasks, ensuring timely completion and maintaining task reports.
3. Calendar Management: Coordinate the M.D's calendar and schedule meetings and appointments.
4. Strategic Brainstorming: Organize monthly brainstorming meetings with the Managing Director to strategize business goals.
5. Client Engagement: Participate in client meetings, maintaining detailed records, and collaborating with Project Managers.
6. Task Monitoring: Keep track of daily project tasks and prepare regular reports for comprehensive project records.
7. Event Coordination: Arrange events and conferences as required by the Managing Director.
8. Deadline Management: Remind the manager/executive of important tasks and deadlines for timely fulfillment.
9. Documentation: Compile reports, presentations, and correspondence for the executive team, including document typing and formatting.
10. Lead Management: Screen new leads and inquiries, track quotations, and invoices as part of the sales and finance processes.
